Submit Your Club's Event to the District Events Calendar
List your club's charter night, fundraiser or service project on the district calendar. Verify your email, fill in one form, and the District team reviews it before it goes live.
The district events calendar at rotarydistrict3860.org/events shows district-wide and club events in one place. Anyone who subscribes to the calendar sees new events appear automatically, so a listing there reaches Rotarians well beyond your own club.
Any active Rotary, Rotaract or Interact club can submit an event. You don't need an account: the form confirms who you are with a one-time code sent to your email. Every submission is reviewed by a District administrator, and nothing is public until it's approved. You'll get an email either way.
What to have ready
Step by step
- 1
Open the submission form
1 minuteGo to the Events page and click "Submit an event", next to the "Subscribe" button above the list. You can also go straight to the form.
The form has three stages, shown across the top: "Your club", "Verify email" and "Event details".
- 2
Tell us who's submitting
2 minutesUnder "Your club & details", pick your club from the "Club" list. Start typing to search, for example "Marbel" to find the Rotary Club of Marbel.
Fill in "Your name", "Position in the club" and "Email address". "Mobile number (optional)" can be left blank. Then click "Send code".
- The "Send code" button stays grayed out until the club, name, position and email are all filled in.
- Only clubs with an active status appear in the list. If yours is missing, contact the District team.
Use an address you check often. It's the only way the District team will tell you the event was approved, or why it wasn't.
- 3
Enter the 6-digit code from your email
2 minutesCheck your inbox for "Your code to submit an event — Rotary District 3860". Type the code into "6-digit code" and click "Verify".
The code expires in 15 minutes and works only once.
- No email? Check your spam folder, then click "Resend code".
- Typed the wrong address? Click "Change details" to go back.
- After several wrong tries the code stops working. Request a new one.
- 4
Describe the event
3 minutesUnder "The event", enter the "Event name" and choose a "Type": Club, Service, Fundraiser, Social, Membership, Youth, Foundation or Training.
Write a "Short description" of one or two sentences. It's shown on the events list, so lead with what the event is and who it's for.
Under "When & where", choose the "First day" and "Last day", and enter the "Venue / location". For a one-day event, the last day fills in to match the first day.
You can only choose today or a later date, and the last day can't be before the first day. Past events can't be submitted.
- 5
Add details, links and a poster (optional)
3 minutesThe "More about it" section is optional, but the more you share, the more useful the listing is. Use "Full details" for the program, dress code, fees and who should attend.
Add a "Registration link" and an "Event or club page" if you have them. Both must be full links starting with https://.
For "Poster or cover image", click "Choose a JPG, PNG or WebP image". A preview appears once it uploads. Use the small X on the preview to remove it and pick another.
- Images must be JPG, PNG or WebP and no larger than 15 MB.
- A square image looks best on the events list.
- 6
Check the event contact
1 minuteUnder "Contact for this event", the "Contact name", "Contact number" and "Contact email" are filled in with your details. These are shown to people with questions, so change them if someone else is handling inquiries, such as the project chair.
- 7
Submit for review and watch your inbox
1 minute, then a review by the District teamClick "Submit for review". If anything is missing or invalid, a message tells you what to fix. Once it goes through, you'll see "Event submitted" and receive a "We received your event" email.
A District administrator reviews the submission and may adjust the listing before publishing it. If it's approved, you'll get an email titled "Your event is on the calendar" with a "View your event" button. If it isn't, the email explains why, and you can submit it again with the corrections.
- To list another event, click "Submit another event". Each event needs its own email code.
- Once listed, your event appears on the events list and calendar views, and in every subscribed calendar.
Share the approved event's link in your club's group chat. On the events list, members can click "Add to Calendar" to save it to Google Calendar, Apple Calendar or Outlook.
Common questions
Submissions are stored on the district website and reviewed by a District administrator, who decides what is listed and may edit the details before publishing. Your name, position and email are kept with the submission for review and are not shown publicly; the event contact details you enter are. The form may change as the site is updated.
